The transformation

What changes after a NetSuite optimization engagement

These aren’t NetSuite limitations. They’re years of accumulated configuration drift, deprecated scripts, and integrations nobody maintained. The fix is surgical — not a rebuild.

Before optimization

  • Saved searches that take 60+ seconds to load (or time out entirely)
  • SuiteScripts hitting governance limits and failing mid-execution
  • Workflows configured years ago that nobody understands or maintains
  • Dashboards with stale KPIs that don’t match reality
  • Page loads that have gotten slower as data volume grew
  • Integrations dropping data silently with nobody monitoring

After BrokenRubik

  • Saved searches optimized with proper indexing and filter order — sub-second loads
  • Scripts refactored under governance limits with monitoring + alerting
  • Workflow inventory documented; redundant logic removed; new business rules wired
  • Dashboards rebuilt from current business priorities, not legacy assumptions
  • Page load + form rendering performance benchmarked and improved
  • Integration health monitoring with error queues and retry logic

About NetSuite optimization

How NetSuite optimization restores performance and reliability

NetSuite optimization is the systematic audit and remediation of an existing NetSuite account that has degraded over time. Common symptoms include saved searches taking 30+ seconds, SuiteScripts hitting governance limits, workflows nobody owns, dashboards with stale KPIs, and integrations dropping data silently. Optimization is distinct from license optimization (contract cost reduction) and implementation (new builds) — it’s the work that brings a working-but-degraded NetSuite back to health.

01

Saved search and SuiteQL performance tuning

Most performance complaints trace back to saved searches with bad filter order, missing indexes, or unnecessary joins. The fix is rarely "rebuild from scratch" — it’s reordering filters, replacing formula columns, swapping subselects for joined fields, and migrating slow saved searches to SuiteQL where indexed access is faster.

Our audit profiles every saved search by execution time and identifies the top 10-20 candidates for tuning. Typical improvement: 5-10x speed gain on the slowest searches.

02

SuiteScript optimization and governance audit

SuiteScripts that worked at 50 records/day break at 5,000. Governance units run out, scripts time out, scheduled jobs fail silently. The recurring fixes: migrate bulk operations to Map/Reduce, replace deprecated SuiteScript 1.0 with 2.x, batch API calls, eliminate redundant record loads, and add proper error handling with monitoring.

We audit every active SuiteScript, identify governance hot spots, and refactor the highest-risk scripts. Each refactor includes regression tests in sandbox before production deployment.

03

Workflow inventory and rationalization

Most NetSuite accounts have 2-5x more active workflows than the business actually uses. Approval chains for processes that changed years ago. Email notifications nobody reads. State transitions that conflict with newer logic. The result: workflow execution slowed by redundant triggers, and business rules nobody can trace.

Optimization includes a workflow inventory: every active workflow documented, business owner identified, and obsolete logic removed. Current business rules wired cleanly without the legacy noise.

04

Dashboard and report rebuild

Dashboards built three years ago show KPIs aligned to three-year-old business priorities. Sales dashboards measuring metrics nobody reviews. Operations dashboards highlighting bottlenecks that no longer exist. Executive dashboards showing data the executives stopped using.

We rebuild dashboards from current business priorities. KPI inventory workshop with each business owner; alignment between dashboard structure and actual decision-making; consolidation across roles.

05

Integration health and monitoring

Celigo, Boomi, and custom integrations drift over time. API versions deprecate, mappings break, error queues fill up unnoticed, retry logic stops working. The result: silent data loss, month-end reconciliation pain, and angry calls from finance.

Optimization includes integration audit, error queue review, retry logic verification, and proactive monitoring setup. Every integration ends with documented health metrics and alerting on sync drift.

06

Page load and UI performance

Custom forms with too many fields. List views with bad sort order. Subtabs loading unnecessary data on every page render. Page load times that have gotten 2-3x slower as data volume grew. End users feel this daily — and they work around it by exporting to Excel.

We benchmark page load times across the highest-traffic forms and list views, identify the slowest renders, and optimize: form layout, field-level scripting, subtab loading, list view sorts, and custom field configurations.

Our process

How a NetSuite optimization engagement works

A structured engagement designed to deliver measurable improvement in a finite timeline. We audit, prioritize, optimize, document — then your team takes over or we continue on managed services.

  1. 1

    Discovery & audit

We run our optimization audit across your NetSuite account: saved searches, scripts, workflows, dashboards, integrations, page performance. Output: a ranked list of issues with effort estimates and impact projections.

  2. 2

    Prioritization workshop

Together we sequence the work by business impact. Some clients prioritize speed (saved searches, page loads). Others prioritize reliability (script governance, integration monitoring). The plan reflects your reality.

  3. 3

    Optimization sprints

Fixed-scope 2-week sprints addressing the highest-impact items first. Each sprint ends with measurable before/after metrics — search load times, script execution duration, governance unit consumption.

  4. 4

    Documentation & handoff

Every change documented in your knowledge base: what we did, why, and how to maintain it. Your team can take over or we continue on managed services.

FAQ

Frequently asked questions

01

What is NetSuite optimization?

+

NetSuite optimization is the systematic audit and remediation of an existing NetSuite account that has degraded over time — slow saved searches, script governance failures, broken workflows, stale dashboards, integration sync drift. The goal is to restore performance, reliability, and alignment with current business reality. Distinct from license optimization (contract/cost) and implementation (new builds).

02

How do we know if our NetSuite account needs optimization?

+

Common signals: saved searches taking 30+ seconds to load, scripts hitting governance limits, workflows nobody owns or understands, dashboards showing the wrong KPIs, page load times worse than 12 months ago, integration errors going unnoticed, and the help-desk ticket volume growing faster than the user base. If two or more of these apply, an optimization audit pays for itself.

03

How long does a NetSuite optimization engagement take?

+

Standard engagements run 4-8 weeks: 1-2 weeks for audit and prioritization, 3-6 weeks of optimization sprints. Larger accounts (1,000+ users, dozens of integrations, complex SuiteScript libraries) take longer. We scope each engagement to a fixed timeline with measurable deliverables, not open-ended T&M.

04

What’s the difference between optimization and managed services?

+

Optimization is a finite engagement to fix a specific set of problems and restore the system to a healthy baseline. Managed services is the ongoing retainer that keeps it healthy — releases, new requests, monitoring, prevention. Many clients start with an optimization engagement and then transition to managed services to prevent the next round of degradation.

05

Do you optimize SuiteCommerce performance too?

+

Yes, but SuiteCommerce performance has its own dedicated service — see SuiteCommerce Performance Optimization. The general NetSuite optimization service covers ERP-side performance (saved searches, scripts, workflows, dashboards, integrations). SuiteCommerce optimization is a different discipline focused on storefront speed, asset optimization, and customer-facing performance.

06

Can you optimize NetSuite without rebuilding everything?

+

Yes. Most optimization work is surgical — fix the specific scripts, searches, and workflows that are degrading performance, leave everything else alone. We only recommend rebuilds when the underlying configuration is so misaligned that surgical fixes won’t hold. The audit phase tells us which approach fits each subsystem.

07

Will optimization break our current customizations?

+

No. All optimization work happens in a sandbox first, with regression tests for the customizations that matter (scripts, integrations, workflows). We deploy to production only after sandbox validation and stakeholder sign-off. Rollback plans documented for every change.

08

What does NetSuite optimization typically cost?

+

Optimization is scoped to your account complexity (number of saved searches, scripts, workflows, integrations) and the depth of the engagement. Each engagement is quoted as a fixed-scope package after the discovery audit. The audit itself is a discrete, fixed-cost first step — we tell you what’s wrong and what it will cost to fix before you commit to optimization sprints.
