Paycor is popular with mid-market companies for payroll, HR, and workforce management. It does those things well. What it doesn't do is talk to your general ledger automatically. After every pay run, someone on your accounting team is exporting a payroll register, mapping earnings and deductions to GL accounts, and creating journal entries in NetSuite.

This is error-prone work. Payroll journals have dozens of line items -- gross pay by earnings type, employer taxes by jurisdiction, benefit deductions, garnishments, retirement contributions. One wrong account number or transposed figure, and your labor costs are misstated until someone catches it during reconciliation.

The integration automates the entire process. Payroll runs in Paycor, and the corresponding journal entries appear in NetSuite, correctly coded and ready to post.

What We Build

Payroll Journal Automation: After each Paycor pay run, the integration extracts the payroll data and creates a summarized journal entry in NetSuite. Every earnings code (regular pay, overtime, bonus, commission) maps to its GL account. Every deduction (federal tax, state tax, benefits, retirement) maps to the appropriate liability or expense account. Department-level allocation splits the journal across cost centers.

Employee Record Sync: New hires added in Paycor create corresponding employee records in NetSuite. We map the fields that matter for your financial processes -- department, location, subsidiary, hire date, job title. Terminations and transfers in Paycor update the NetSuite record to keep both systems aligned.

Tax Liability Tracking: Employer tax liabilities (FICA, FUTA, state unemployment, local taxes) post to the correct liability accounts in NetSuite. When Paycor remits taxes on your behalf, we create the corresponding payment entries to clear those liabilities.

Benefits Accounting: Employer contributions to health insurance, dental, vision, 401(k) match, HSA, and other benefits each map to their own expense and liability accounts. No more lumping all benefits into a single account and hoping the details are somewhere in a spreadsheet.

Pay Period Accruals: When pay periods don't align with month-end (and they rarely do), we generate accrual entries that estimate the payroll expense for days worked but not yet paid. These auto-reverse in the following period.

Technical Details: Paycor offers a REST API with payroll summary data, employee demographics, and earning/deduction detail. We connect through middleware (typically Celigo or a custom integration service) to extract post-payroll data, transform it into the journal entry format your chart of accounts requires, and push it to NetSuite via SuiteTalk. The integration runs automatically after each pay run with error notification for any mapping failures.
