Ceridian Dayforce runs your payroll, tracks time, manages benefits, and handles HR workflows. But after each pay run, someone on your accounting team has to translate that payroll data into NetSuite journal entries. Gross pay, employer taxes, benefits deductions, 401(k) contributions, garnishments -- all need to land in the right GL accounts, split by department, location, and subsidiary.

For a company with 200 employees and biweekly payroll, that's 26 times a year someone is manually creating journal entries with 30-50 line items each. Miss a mapping or transpose a number, and your labor costs are wrong until someone catches it.

Payroll Journal Entry Automation: After each Dayforce pay run completes, the integration creates a summarized journal entry in NetSuite. Gross wages, employer tax liabilities, benefit expenses, deduction liabilities, and net pay -- all mapped to your specific GL accounts. We build the mapping at the earnings code and deduction code level, so every payroll component hits the right account.

Department and Cost Center Allocation: If employees work across departments or cost centers, the journal entry splits accordingly. Dayforce tracks labor distribution, and we carry that allocation into the NetSuite journal. An employee who splits time 60/40 between two departments gets their payroll costs allocated at that same ratio.

Employee Master Sync: New hires entered in Dayforce create employee records in NetSuite. Terminations, department transfers, and role changes update the NetSuite record. This keeps your employee list consistent without someone maintaining it in two places.

Benefits and Deduction Tracking: Employer-side benefit costs (health insurance premiums, 401(k) matches, HSA contributions) post to the correct expense and liability accounts. We map each Dayforce benefit plan to its corresponding NetSuite accounts so the full cost of an employee is accurately reflected.

Accruals: For companies that accrue payroll between pay dates, we build accrual and reversal journal entries based on the pay period schedule. This keeps your monthly financials accurate regardless of when pay dates fall relative to month-end.

Technical Architecture: Dayforce exposes data through its REST API and through standard export files. For most implementations, we use a file-based approach -- Dayforce generates a GL export file after each pay run, and a scheduled script imports it into NetSuite. This is reliable and well-understood. For companies needing real-time employee sync, we supplement with API-based polling or webhooks.
