Some NetSuite Tasks Can't Be Fixed with an API

Sometimes the bottleneck is a person clicking through NetSuite screens, copying data from one system, pasting it into another, running the same saved search every morning, or entering 200 vendor bills that arrived as PDFs.

That's where UiPath comes in. It's a robotic process automation (RPA) platform that builds software bots to mimic what a human does in an application. Click this button, type in that field, read this value, make a decision, repeat. For NetSuite processes that are repetitive, rules-based, and high-volume, UiPath bots can take over.

This isn't a replacement for proper integrations. If two systems have APIs, connect them through APIs. But for the gaps -- manual data entry, legacy system interactions, document processing -- RPA fills a real need.

What We Build

Data Entry Automation: The most common use case. A bot reads structured data from emails, spreadsheets, or other systems and enters it into NetSuite. Vendor bills, journal entries, purchase orders, inventory adjustments -- any transaction that someone currently keys in manually. The bot navigates NetSuite's UI, fills in fields, validates data, and submits records.

Document Processing: UiPath's Document Understanding capability extracts data from PDFs, scanned invoices, and other documents. We build workflows that read vendor invoices, extract header and line item data, match it to existing POs in NetSuite, and create vendor bills. The bot handles the 80% of invoices that follow standard formats; exceptions route to a human queue.

Cross-System Workflows: When you need to move data between NetSuite and a system that doesn't have a usable API (legacy ERPs, government portals, banking platforms with no API access), UiPath bots can bridge the gap. The bot logs into both systems and transfers data through the UI layer.

Report Generation and Distribution: Bots can run saved searches or reports in NetSuite on a schedule, export the results, format them, and distribute them via email or save to SharePoint. Useful for recurring reports that someone currently generates manually every day or week.

Exception Handling: Well-built RPA workflows include decision logic. If a vendor bill amount doesn't match the PO within tolerance, the bot flags it for review instead of posting it. If a required field is missing from the source data, the bot routes the record to an exception queue with context about what's missing.

Technical Architecture: UiPath bots connect to NetSuite through the browser UI (attended or unattended automation) or through NetSuite's SuiteTalk APIs via UiPath's HTTP activity. We prefer API-based interaction where possible since it's faster and more stable than UI automation. But for processes that involve screens with no API equivalent, UI automation is the tool.
